About the Job

The Course Administration Specialist is responsible for supporting the creation of online courses as well as their coordination. You will be communicating with both learners and course leaders to ensure the best possible learning experience.

We are searching for someone enthusiastic about educational technology as well as instructional design for e-learning. We don’t expect you to have tons of experience in these areas, but we are determined to find an enthusiastic team member that will help drive them forward.  

While you will have a certain structure in this role, it is expected that you innovate and create processes that would make our online courses an unforgettable learner’s journey. Therefore, an ideal candidate would be someone who is super-independent and is good at research.

What Does the Course Administration Specialist Do?

  • Collaborates with course leaders on course creation 
  • Provides support to learners throughout course registration and enrollment
  • Updates the enrollment criteria, builds and improves learners curriculums together with course leaders 
  • Identifies learners progress and administrates withdrawals or drop-outs   
  • Sets up and maintains online course platforms (learning management systems), sites, and landing pages     
  • Coordinates live coaching sessions as well as pre-and post-course communications      
  • Supports assignment reviews and grading with course leaders       
  • Assists in identifying and recruiting new course leaders       
  • Proactively collects learner’s feedback and works on improvement areas      
  • Analyzes course analytics  

 

Requirements

  • Impressive English and overall communication skills as you’ll be the first point of contact for all students, and we want to make sure the first impression is a positive one
  • Minimum 6 months of previous working experience in education, training, administration, or project management roles, such as Teaching Assistant, Training Specialist, Project Coordinator, or similar position
  • Previous experience in LMS management, online tools, and e-learning platforms will be considered a big plus
  • Previous experience in course coordination will be an advantage
  • A bachelors’ degree in education or teaching-related field would be an advantage
  • Flawless scheduling and coordination skills—as you will be juggling many things at once, so you’ll need to know how to set the right priorities and what to focus on first
  • Curiosity for finding ways of improving things with a passionate and a can-do attitude
  • Tech-savvy with the ability to resolve technical issues fast—you will use various online tools daily, and you should be able to google how to use them and fix any issues that arise while using them independently
  • Comfortable working independently as well as on administrative tasks—there will be many of them, and it is important to understand the importance of administrative support and how much doing it properly is of help for the process overall
  • Creative with distinct attention to detail—you gather ideas for testing new information pretty quickly, and you are very careful when you implement it in a process

Location and Hours - Remote Job Post

Essence of Email has been a remote company from the start. Utilizing online apps for task management and time tracking, while supporting our employees with clear procedures on every working process, we have been running a successful remote team for over 8 years. Whether you’re working next to your purring cat or on an exotic beach, you have the flexibility to work wherever as long as it’s within your position’s mandatory working hours. 

Working Hours: Monday to Friday, 10:00—18:00 CET

What Happens Next - Apply

The Talent Management team will go through all the applications and pick candidates that fit the profile. Those candidates will be called in for the screening interview.

 

Screening Interview

The first interview will be with someone from our Talent Management team. During this call, the person from Talent Management will provide you with more information regarding the company and the position.

Tasks

For certain positions, as a part of the selection process, we also include tasks or tests. You will be informed by the Talent Management team about all the necessary details. Tasks are not difficult and they are intended to test the level of certain skills for different job positions.

 

Structured Interview

After the Screening Interview and a successfully finished task, a longer interview takes place as a next step. There are 2 interviewers present during this call and it is usually about 1 to 1.5 hours long. During the Structured Interview, we dive deeper into the experiences you’ve had so far regarding your education and work experience.

 

Interview with the Management

Following the structured interview, the next step is a call with the rest of the management, after which the final decision will be reached. Depending on the position, there could be one or more interviews with the management. Interviews with management are not a must, meaning we don’t always organize them. However, you might get a chance to meet someone from our management if needed.
